General Information

Overview

This unit and its successor Collaborative Digital Media Project Part B require you to apply your accumulated experiences, skills and knowledge, developed throughout the Bachelor of Digital Media, to a real-world capstone project for an authentic client. Working collaboratively as part of a team, you will develop a comprehensive project plan and workflow incorporating essential elements such as project requirements, objectives, scope, audiences, resources, deliverables and timelines. The project plan that your team develops in this unit will become the blueprint for the production stage of the project, which will take place with the same team in the following term in the unit Collaborative Digital Media Project Part B. That is why, when you undertake this unit, you must be prepared to enrol in Collaborative Digital Media Project Part B in the following term to complete the project.

Prerequisite: 72 credit points This unit is only available to students enrolled in CC24 Bachelor of Digital Media

Students who do not drop the unit in this timeframe cannot later drop the unit without academic and financial liability. Attendance Requirements

All on-campus students are expected to attend scheduled classes - in some units, these classes are identified as a mandatory (pass/fail) component and attendance is compulsory. International students, on a student visa, must maintain a full time study load and meet both attendance and academic progress requirements in each study period (satisfactory attendance for International students is defined as maintaining at least an 80% attendance record).

Assessment Grading

This is a graded unit: your overall grade will be calculated from the marks or grades for each assessment task, based on the relative weightings shown in the table above. You must obtain an overall mark for the unit of at least 50%, or an overall grade of 'pass' in order to pass the unit. If any 'pass/fail' tasks are shown in the table above they must also be completed successfully ('pass' grade). You must also meet any minimum mark requirements specified for a particular assessment task, as detailed in the 'assessment task' section (note that in some instances, the minimum mark for a task may be greater than 50%). Task Description

This assessment task outlines the project management procedures followed, encompassing team agreements, client liaison, and developmental record-keeping.

Task 1A. Team Operational Framework:

This section details the internal team structure and working protocols, covering:

  • Team identity (logo and stationery)
  • Role definitions and responsibilities
  • Conflict resolution process
  • Communication and document management strategy

Task 1B. Client Project Agreement:

  • Draft Heads of Agreement (HoA) outlining the negotiated project scope and terms was prepared and submitted to the supervisor for review and endorsement.
  • Draft email letter explaining that HoA is for negotiated agreement is sent to team's supervisor for approval.
  • Following supervisory approval, both documents are sent to the client.
  • All correspondence pertaining to the HoA are documented and retained.
  • The final, signed HoA will be uploaded to Moodle. While the target upload date is week 12, it is anticipated that this may occur earlier.

This document outlines the assessment criteria for the project management documentation, encompassing team agreements, client liaison, and developmental record-keeping.

Assessment  Task 1A: Team Operational Framework

1. Team Identity:

  • While a team name and logo are expected, no specific marks are allocated for this element. Consistent application of the logo to team documentation (letterhead and report cover) is assumed.

2. Roles and Responsibilities (2 marks):

  • Demonstrated successful negotiation and agreement on individual team member roles and responsibilities. Clear reporting of the agreed outcomes is required.

3. Conflict Resolution Strategy (2 marks):

  • A documented team conflict resolution plan, signed by all members, must be provided.

4. Communication and Document Sharing Plan (6 marks):

  • This section should detail the established communication protocols within the team, including a regular internal meeting schedule, and the document sharing system employed.
  • The plan should also confirm the appointment of a designated client liaison.
  • Evidence of initial client communication, in the form of a letter introducing the team (including member profiles) and sent to the supervisor for approval before being forwarded to the client, is required.

2. Draft Email to Client (2 marks):

  • The drafted email to the client, explaining the purpose of the HoA as a negotiated agreement, must be included.
  • Evidence of submission to the supervisor for approval (via email) prior to sending to the client, along with a copy of the HoA, is required.

3. Signed HoA and Client Correspondence (5 marks):

  • The final, signed HoA (signed by all team members and the client) must be uploaded to Moodle by the specified deadline.
  • Any correspondence with the client (beyond the initial HoA and email) prior to the agreement being finalised should be documented and included.

  • Professional Presentation Document: A professional presentation document, complementing the live presentation, should be provided to the client. This document should detail the team's creative solution in conceptual detail, including appropriate medium-specific textual descriptions, visualisations, diagrams, and other supporting materials as relevant to the project brief.

Task 2C: Design Document and Project Plan

This task focuses on consolidating the project definition and pitch materials into a comprehensive design document and developing a detailed project plan for the subsequent production phase.

  • Design Document: Compile all documentation from Tasks 2A and Task 2B into a comprehensive Design Document. This document should incorporate any revisions or changes resulting from feedback received after the pitch presentation.
  • Production Requirements List: Generate a medium-specific, itemised list of all resources (e.g., equipment, software, personnel) required for the production phase (Part B of the unit).
  • Work Breakdown Structure (WBS): Develop a comprehensive WBS that breaks down the project into manageable tasks and sub-tasks. This structure should provide a clear overview of the project scope and deliverables.
  • Gantt Chart: Create a Gantt chart that visually represents the project timeline for Part B of the unit. This chart should show production and presentation milestones, as well as component interdependencies, providing a detailed schedule for the production phase.

Assessment Task 2A: Project Definition Document (15 marks)

This document serves as a self-explanatory and professional resource, enabling the client to confidently present the project definition to other stakeholders (e.g., executive or management committee).

  • Format and Submission: The document can be submitted as a PDF, PowerPoint presentation, or other widely accessible format (avoiding specialist software or plugins). The document should not exceed 2500 words (excluding references and appendices) and the file size should be under 5Mb to facilitate email sharing. Supporting materials (videos, high-resolution graphics, sound bites) should be provided as online links.
  • Content: The document should comprehensively address the requirements elicitation process and outcomes, requirements analysis and recommendations, and the initial technical specification.
  • Professionalism: The document must adhere to the highest professional standards in terms of clarity, conciseness, and presentation.
  • Live Presentation (Optional): While a live, interactive presentation to the client is encouraged, it is not formally assessed for this deliverable.

Submitting a draft to the supervisor for feedback before the due date (the date of client delivery) is strongly advised.

Marking: Refer to the detailed criteria on the Moodle website. The 60 available points are scaled to a maximum of 15 marks, awarded to all team members.

Assessment Task 2B: Pitch Presentation (15 marks)

This assessment evaluates the team's creative approach and individual contributions through a live pitch to the client and a supporting professional presentation document.

  • Live Presentation: The live pitch should be interactive and engaging, with all team members participating and addressing their respective roles. Supervisor attendance as an observer is preferred. Specific criteria for professional presentation delivery will be applied.
  • Presentation Document: The presentation document should be self-explanatory and of the highest professional standard, allowing the client to confidently present it to other stakeholders.
  • Format and Submission: The document format and submission guidelines are the same as for Assessment Task 2A.

 Submitting a draft to the supervisor for feedback before the due date (the date of client delivery) is strongly advised.

Assessment Tasks 2C: Design Document and Project Plan (15 marks)

This deliverable serves as the primary guide for the project's production phase (Part B). It comprises two components: the Design Document and the Production Plan. The Production Plan is the key element of this assessment.

  • Design Document: This section consolidates information from Assessments Task 2A and Task 2B, incorporating any feedback or updates. Previous submissions can be included as appendices.
  • Production Plan: This section details all foreseeable resources required for project completion, broken down into individual tasks. Responsibilities are assigned to team members and other stakeholders, and time estimates are incorporated into a Gantt chart.
  • Live Presentation (Optional): A live, interactive presentation is encouraged to address any outstanding questions from the team or client. However, formal assessment of the live presentation component occurs only once per term (either for Task 2B or Task 2C, as elected by the team). If the team chooses to have the live presentation criteria assessed for Task 2C, they should notify the supervisor. Non-assessed interactive sessions are still encouraged and should consider the criteria from Task 2B-1.
  • Format and Submission: The document format and submission guidelines are the same as for Assessment Task 2A, with the exception that the word limit applies to the main body of the document only (appendices are excluded).

Individual Assessment Items

Task Description

This assessment outlines the tasks related to individual contributions and their evaluation within the project.

Task 3A: Individual Report and Peer Review

  • This report provides an opportunity for each student to demonstrate their understanding of the project. It should be written primarily in the student's own words. Minimal, properly referenced quotations from team-produced documents are acceptable.
  • The report also includes a peer review component. Students will provide a written appraisal of their own contributions and those of their peers, along with a completed copy of the marking matrix (Task 3B) provided via Moodle.

Task 3B: Peer Review

As part of the Task 3A submission, each student will review the overall team performance and appraise the conduct of each team member. Using the provided matrix, each team member (including themselves) will be assigned a numerical score (out of 10) for the following criteria:

  • Attendance at team meetings
  • Quality of individual meeting participation
  • Completion of assigned work within schedule
  • Quality of assigned work
  • Individual's overall contribution to the team

The average peer mark, calculated from all team members' scores, will be confidentially applied to Assessment Item Task 3B.

Word Count: The combined maximum word count for Tasks 3A and Task 3B is 1500 words.

Assessment Criteria: Individual Contribution and Evaluation
This document outlines the assessment criteria for individual contributions to the project, encompassing the individual report, peer review, and tutor evaluation.

Assessment Task 3A: Individual Report and Peer Review (7.5 marks)

This assessment evaluates the student's understanding of the project and their contributions, along with peer feedback.

Report Document Professionalism (4 points):

    • Assessment of title page (student details, course code, team name, project title)
    • Table of contents
    • Executive summary
    • Appropriate formatting
    • Referencing
    • Spelling, and grammar.

Project Information (4 points):

    • Demonstrated understanding of the client and stakeholders
    • Project aims and objectives
    • Product type
    • Interpretation of the project brief.

Target Audience (4 points):

    • Detailed description of the target audience(s), including relevant demographics, characteristics, expectations, and motivations
    • A clear statement of audience benefits.

Target Platform (4 points):

    • Description of the target platform(s) specific to the chosen medium
    • Product delivery methods
    • Technical standards.

Resources, Limitations, and Scope (4 points):

    • Description of required resources
    • Project potential constraints
    • Project scope (size, length, quantity)
    • Evaluation of scope achievability with supporting reasons.

Team Information and Peer Review (15 points):

    • Description of team roles and members (including the student)
    • Productive/ineffective team aspects
    • Satisfaction with project progress
    • Suggestions for improvement.

Communication (5 points):

    • Outline the nature of communications your team is having with the client and other stakeholders if applicable
    • Describe meeting frequency/duration/nature, collaborative interactions
    • Describe communication difficulties.

Peer Review Matrix (5 points):

    • Satisfactory completion and submission of the peer review obligations, including the provided marking matrix.

Project Plans for Next Term (MMST13018) (5 points):

    • Outline of anticipated production tasks for MMST13018, expected roles, and inclusion of the team's Gantt chart (as an appendix).

Total for Assessment Task 3A: 50 points (scaled to 7.5 marks)

Assessment Task 3B: Peer Review (7.5 marks)

This assessment is based on the average peer evaluation scores. Each team member scores their peers (and themselves) out of 10 for the following criteria:

  • Attendance at team meetings
  • Quality of individual meeting participation
  • Completion of assigned work within schedule
  • Quality of assigned work
  • Individual's overall contribution to the team  

Total for Assessment 3B: 50 points (scaled to 7.5 marks)

Assessment Task 3C: Tutor's Evaluation of Individual Contributions (10 marks)

The tutor evaluates individual contributions using the same criteria as the peer review, with the addition of:

  • Individual initiative (10 points)
  • Leadership and responsibility (10 points)
  • Professional development (10 points)
  • Effective collaboration (10 points)
  • Professional attitude (10 points)

Demerit points may be applied for ongoing poor performance.

Total for Assessment 3C: 100 points (scaled to 10 marks)
